How to fill your first retreat in Georgia (the country): 2026 marketing guide for facilitators

Start six to twelve months out, sell to your own students and email list first, price so the retreat works with 8 or 9 people, end the early bird at least a month before, and match your participants' deposit and refund dates to the venue's terms. Marketplaces take 14 to 18%.

Most first retreats fill from people who already know the facilitator, over six to twelve months, at a price that still works with eight or nine people. For a retreat in Georgia (the country), that means announcing to your own students first, opening an early bird at least six months out, listing on BookRetreats or Retreat Guru only once you know their fees, and choosing a venue whose deposit and headcount rules match the way participants actually book.

We host retreat groups at Glamping Tago in the mountains of Adjara and see the same pattern every season: the hosts who fill are not the ones with the biggest Instagram, they are the ones who start early, price for a small group and talk to people one by one. This guide puts the numbers on each step.

Which venue fits a first retreat in Georgia?

A first retreat needs a venue that lets you start small, change your numbers late and keep the group together. That rules out most big resorts, where you rent rooms among other guests, and favours small places you can book in full.

For a full region-by-region list, see our retreat venues in Georgia guide. Here are the five that matter most for a first group.

Glamping Tago (our venue), Adjara mountains

  • Where: a ridge above Village Tago, Khulo municipality, at about 1,200 m
  • From the airport: 86 km from Batumi airport, about 2 hours
  • Capacity: 33 beds in 12 Lotus tents for two and a nine-bed Half Dome; a retreat buyout takes 12 to 33 guests, and a group booking starts at 8 tents
  • 2026 group rates: a Lotus tent from 147 GEL a night (336 GEL in July and August), the whole camp from 1,962 GEL a night, three meals 100 GEL per person per day
  • Season: 1 April to the end of October

The whole camp belongs to one group, everyone sleeps on site, and the sessions happen on a 138 m2 open platform that takes 50+ people on mats or in a heated 38 m2 dome for 10 to 12. The evening sauna, campfire, coffee and tea all day and a sound system are included, and Starlink wifi keeps you online for your own marketing between sessions. Meals are vegetarian, served in Yurtalicious, the yurt restaurant on site.

What makes it easier to fill a first retreat here is the paperwork, not the view. A 30% prepayment holds the dates, and until 60 days before arrival you can add or remove tents freely. More on that below.

How far ahead should you start marketing a retreat in Georgia?

Start six to twelve months before the retreat, and nine months is the comfortable middle for a first one. The Retreat Marketer recommends 3+ months for a local retreat, 4 to 6 for a domestic one and 6 to 12 for an international one, and a group flying to Georgia is international for almost everyone.

The same report rests on Retreat Guru data from 398,704 registrations at 896 centres (2022 to 2025). It shows how late people commit:

When participants bookShare of bookings
90+ days before the start26.7%
60 to 89 days13.2%
30 to 59 days21%
Final 29 days39.1%
Week of the retreat8.5%

Two lessons follow. You need a long run-up to collect the early quarter, and you need a venue that does not force your final number three months out, because 39.1% of the group may only decide in the last month.

At Glamping Tago, high-season group dates from June to September go 6 to 12 months ahead, so pencil the venue before you announce. We hold dates for up to one week without prepayment while you decide.

How do you price a retreat and set the early bird?

Price on the smallest group you would still run with, not the full house. Casa Lotus Azul, a retreat venue, sees most organisers struggle to break even below six participants, and SquadTrip puts break-even for a 16-seat retreat between guest 9 and guest 12. Cover your venue, food, transfers, co-facilitators and marketplace commission at eight or nine people, and the seats after that are your margin. Our retreat cost guide has the full 7-day budget for 20 people.

What your venue costs per participant at Glamping Tago, two people to a tent, three meals a day:

MonthLotus tent for two, per nightWhole camp, per nightVenue + food per person per night (sharing)
April147 GEL1,962 GELabout 174 GEL
May200 GEL2,520 GEL200 GEL
June and September268 GEL3,584 GEL234 GEL
July and August336 GEL4,488 GEL268 GEL
October173 GEL2,316 GELabout 187 GEL

These are 2026 weekend group rates; full board is 100 GEL per person per day on top of the tent, and a group booking starts at 8 tents. A 6-night May retreat for 16 people in eight tents comes to 19,200 GEL for beds and meals (9,600 for the tents, 9,600 for food), or 1,200 GEL per participant before transfers, teachers and your fee. Anastasia sends an exact quote for your dates.

Then check the market. BookRetreats lists six yoga retreats in Georgia for 2026 and 2027, from US$394 to US$1,999. A 7-day relax and de-stress retreat near Kazbegi in August 2026 was priced on Retreat Guru at US$2,500 in a shared double and US$2,900 single.

The early bird. Give 10 to 20% off with a firm cut-off. Yoga Studio Insider suggests three short tiers: 20% off about three months out for three weeks, 15% about two months out for two weeks, and a final 10% about six weeks out for ten days. Retreat Guru sets the deadline at least one month before the start, ideally more. After that, no more discounts: price cuts in the final weeks train people to wait for a deal (The Retreat Marketer).

We do the same for our own Digital Detox week (5 to 11 April 2027): 30% off booked by 31 January, 10% off booked by 15 March, full price from 16 March. A dorm bed for the week, everything included, is EUR 420 at the first tier, EUR 540 at the second and EUR 600 at full price.

Where do participants actually find retreats?

Mostly through you. Direct outreach, email and referrals bring the majority of registrations, not social posts or ads, and a soft launch to your own classes often fills 30 to 50% of the spots before any wider marketing (Yoga Studio Insider). Marketplaces and Instagram fill the rest.

Six people doing yoga on a grassy hill with mountains behind them

1. Your own students and clients. They are the most likely to book. Tell them face to face, say clearly who the retreat is for and whether beginners are welcome, and give a bring-a-friend voucher (Momoyoga). Casa Lotus Azul's advice: write to 10 to 15 people individually over two weeks before you announce publicly.

2. Your email list. Email converts better than social media for classes, workshops and retreats. If you have no list, start one now with a free recorded class or a short meditation as the sign-up gift (Brett Larkin).

3. Marketplaces. Worth it for the reach, but know what they keep:

ChannelWhat it costs youHow the money moves
BookRetreatsFree to list; a commission on the full price set by the visibility rate you choose (15% in its own example), plus 3% processing on payments through the platformYou set a deposit of 15 to 100%; the commission comes out of it, you collect the balance directly
Retreat GuruFree to list; 14% of the total price, only on bookings that found you thereThe participant pays the 14% on the platform as the deposit, you collect the rest; on a cancelled booking the 14% goes back to the participant
BookYogaRetreats and the other Tripaneer sitesOperator bankrupt since 30 September 2026Deposits paid to it are with the curator

On BookRetreats, a US$1,000 retreat at a 15% rate with a 20% deposit (US$200) leaves the platform US$156 (commission plus processing). It pays you US$44 of the deposit and you collect the US$800 balance yourself. Build that 15 to 18% into your price before you list, not after.

Our own Digital Detox week is on BookRetreats with a 5.00 score from 54 reviews, so we know the platform from the host side too.

4. Instagram and Telegram. Use them to keep warm the people who already follow you, not to find strangers. For Russian-speaking audiences, Telegram Ads can target the subscribers of specific channels; there is no pixel, so track sign-ups with UTM links.

5. A local taster event. A paid evening class or online session sold through Eventbrite (free for free events, a per-ticket fee on paid ones) gives people a low-risk first step before a week abroad.

Is BookYogaRetreats still safe after the Tripaneer bankruptcy?

No. Tripaneer B.V. in Amsterdam, which ran BookYogaRetreats, BookYogaTeacherTraining, BookSurfCamps and its other Book* sites, was declared bankrupt on 30 September 2026 by the Amsterdam court, after a provisional suspension of payments on 28 September. The creditors' meeting is on 9 December 2026.

Deposits that participants paid to Tripaneer for future retreats are stuck with the curator; balances paid directly to hosts are not affected (BookRetreats host guide). BookRetreats is a separate company and is not affected. The lesson for a first-time host: keep the deposit you depend on in your own account, and list on a marketplace for reach, not as your only till.

What deposit and cancellation policy should participants get?

Ask for a non-refundable deposit that at least covers your own share of the venue deposit, and set the balance due about 60 days before the start. Organisers usually take either a fixed sum (HRD Retreats asks US$500) or 25 to 30% of the price (Still Salty), with the balance due 30 to 90 days before.

Both big marketplaces use the same cancellation tiers, and Retreat Guru sets new hosts to Moderate:

PolicyFull refund50% refundNo refund
Flexible30+ days before15 to 29 days0 to 14 days
Moderate60+ days before30 to 59 days0 to 29 days

Now line that up with the venue. At Glamping Tago (terms, section 7):

  1. Hold the dates: a 30% prepayment of the total booking confirms them. It is non-refundable and it is the minimum you pay.
  2. More than 60 days out: add or remove tents freely, never below the 30%.
  3. 60 to 30 days out: remove up to 2 tents free of charge.
  4. 30 to 14 days out: remove 1 more tent free.
  5. 14 days out: final headcount in writing. From then every booked tent is paid.
  6. Money: the accommodation balance is invoiced at the 14-day confirmation and paid before arrival; food and extras are paid at the end of the stay. Groups pay by bank transfer in GEL or by payment link, and company invoices come in GEL or EUR.
  7. Booking late for June to August? Inside about 60 days of arrival, at least 50% is paid upfront and is non-refundable.

A Moderate policy for participants fits this almost exactly: by the time your participants stop getting refunds (30 days), you can still drop tents. If you are unsure of your numbers, book fewer tents: adding later is easy if they are free, reducing late is not.

What should a sales page for a retreat in Georgia say?

Answer the questions that stop people booking a trip to a country they do not know: entry, insurance, flights and the last kilometre. Put them on the page before anyone asks.

  • Visa: citizens of 98 countries, including the EU, the UK and the US, enter Georgia without a visa and can stay up to a year (GOV.UK).
  • Insurance: since 1 January 2026 most foreign visitors need health and accident insurance of at least GEL 30,000 for every day of the stay, documented in English or Georgian. The airline or the border officers can ask for it. Tell participants to buy it before they fly: one policy sold in Georgia excludes anything in the first six hours after purchase.
  • Flights: Batumi is 86 km from the camp; Kutaisi is 215 km via Batumi, about 5 hours 30 by private 4x4 (465 GEL per car for up to 4). Our flights guide for retreat participants lists the routes.
  • Transfers: marshrutkas run from Batumi to Khulo every 30 minutes from 08:00 to 20:00, about 2.5 hours for about 10 GEL. From Khulo a 4x4 to Tago costs 75 GEL per car for up to 4, our minibus 135 GEL; a private 4x4 from Batumi is 265 GEL per car (getting here).
  • Weather: days usually reach about 19°C in May, 24°C in June and 18°C in October at the camp, May nights drop to 6-9°C, and it rains on 11 to 16 days a month. Put warm layers and a rain jacket on the packing list, and keep an indoor plan for every session. Our retreat weather guide goes month by month.
  • Local partners: since 1 June 2026 Georgian tour operators, travel agencies and guides register in the national tourism database, and working without registration is fined 500 GEL (Georgia Today). Ask any local guide or agency you hire for their registration.

What do we see working for the groups we host?

We have hosted 75+ retreat groups since 2021, and the ones that fill look alike.

  • Small groups. In 2026 most retreats here had 5 to 16 participants: a 6-woman yoga retreat for five nights in June, a 12-person yoga group in July, 13 women from Slovakia for a week with a pickup at Kutaisi airport, 16 women with their teacher from Kazakhstan for four days. A first retreat of 8 to 12 is normal, not a failure.
  • Returning hosts. A yoga collective from Prague brought its group back for a second season in September 2026. The second retreat fills faster because the first group brings friends and the photos are your own.
  • Partner codes. Several hosts give their audience a discount code for their week at Tago, which makes it easy to see which channel works.
  • Our photos and media kit. We send photos and an info pack for your own marketing on request, and the organiser eats free for the whole stay. Agents and organisers who bring a group earn a 10% commission against an invoice.
  • Fast answers. Anastasia, our retreats coordinator, replies within 24 hours with availability and a draft plan, so you can answer a hesitant participant the same day.

If your first group is small, you can also book part of the camp: other guests stay in the remaining tents and the yoga spaces run on a shared schedule. For a private week, book the whole camp.

How do you get your group to Glamping Tago?

Fly into Batumi and drive 86 km along the Batumi to Akhaltsikhe road (Sh1) up the Adjaristskali valley to Khulo, then up to Tago: about 2 hours. From Kutaisi it is 215 km via Batumi, about 5 hours 30 by private 4x4. We book the transfers once we have arrival times and put guests on the same flight in one car, and our getting here page has every option and price.

We are Jonas and Lisa, a Belgian couple who fell in love with Georgia and opened Glamping Tago in 2021. The whole camp belongs to one retreat group of up to 30, everyone sleeps on site, and the sessions happen on an open platform above the valley or in a heated dome when it rains.

Our terms are written for first-time hosts: a 30% prepayment holds your dates, tent numbers stay flexible until 60 days before, and the final headcount is due 14 days out. We send photos and an info pack for your marketing, and the organiser eats free.

Questions people ask

How far in advance should I start marketing a retreat in Georgia?

Start six to twelve months before, with nine months as a comfortable middle for a first retreat. People flying to Georgia need time to fix holidays and flights, and summer dates at small venues go 6 to 12 months ahead. Launching four months out is the most common reason a first retreat stays empty.

What commission do BookRetreats and Retreat Guru charge?

BookRetreats is free to list and takes a commission on the full retreat price, set by the visibility rate you choose (15% in its own example), plus a 3% processing fee on payments through the platform. Retreat Guru takes 14% of the total price, only on bookings that came through its marketplace, and collects it as the participant's deposit. Add the cut to your price before you list.

Is BookYogaRetreats still safe to list on after the Tripaneer bankruptcy?

No. Tripaneer B.V., which ran BookYogaRetreats and its sister sites, was declared bankrupt in Amsterdam on 30 September 2026, and deposits paid to it are with the curator. BookRetreats is a separate company and is not affected.

How much deposit should retreat participants pay?

Most organisers take a non-refundable deposit of a fixed sum or 25 to 30% of the price, with the balance due 30 to 90 days before. Make sure the first few deposits cover your venue hold: at Glamping Tago that is 30% of the total booking.

How many participants do I need to break even?

Most organisers struggle below six participants, and a 16-seat retreat usually breaks even between guest 9 and 12. Price your retreat so it works with 8 or 9 people, and treat every seat after that as margin.

Do participants need a visa or insurance to come to Georgia?

Citizens of 98 countries, including the EU, the UK and the US, need no visa and can stay up to a year. Since 1 January 2026 most foreign visitors must hold health and accident insurance of at least GEL 30,000 for the whole stay, and the airline or border officers can ask for it. Buy it before flying.

Which airport should my group fly into for a retreat in Adjara?

Batumi. Glamping Tago is 86 km from Batumi airport, about 2 hours by road. Kutaisi works for cheaper flights, but the drive is 215 km via Batumi, about 5 hours 30 by private 4x4 (465 GEL per car for up to 4).

Can a bigger group come to Glamping Tago?

The camp sleeps 33 and is built for retreats of up to 30. Seven family guesthouses in Tago village, 3 to 10 minutes' walk away, add 64 beds, mostly with shared bathrooms, and we book them for you.
