Glamping Tago LLC
Terms & Conditions
These are the terms you agree to when you book a stay, a meal, an activity or a group event with us. We have written them in plain language, because rules nobody can read protect nobody. If anything here is unclear, write to hello@glampingtago.ge and we will explain it before you book.
1. Who we are
- Glamping Tago is run by Glamping Tago LLC, a company registered in Georgia, tax ID 448054293.
- Our address is Top of the hill, village Tago, Khulo municipality 6500, Adjara, Georgia.
- You can reach us at hello@glampingtago.ge or +995 555 56 24 83, which is also our WhatsApp number.
- In these terms, "we" and "Glamping Tago" mean Glamping Tago LLC. "You" means the person who makes the booking and everyone travelling under it.
2. What these terms cover
- They apply to every booking made through our website, our online booking page, by email, by phone or by messenger, and to everything you use while you are here: tents, the restaurant, the sauna, the yoga shala, activities and transfers.
- Making a booking, or paying a deposit or an invoice, means you accept these terms for everyone in your party. If you book for other people, please pass these terms on to them.
- Where we have signed a separate written contract with you, for a retreat, a wedding or a company off-site, that contract wins wherever it says something different.
3. Booking an individual stay
- Your booking exists once you have a written confirmation from us or from our booking system. A request, a held date or a quote is not a booking.
- Please check the confirmation straight away: dates, number of guests, tent type and total. Tell us within 24 hours if anything is wrong.
- Bookings made through Booking.com, Airbnb or another travel site also follow that site's rules wherever they differ from ours.
- You need to be 18 or older to make a booking.
4. Prices, and what is included
- Prices are shown per tent per night in Georgian lari (GEL) and include Georgian taxes.
- The room rate covers accommodation only. Food, transfers, the sauna, guided hikes and other activities are extra and go on your bill during the stay.
- Full board is currently 100 GEL per person per day. Activity prices are published on the website and confirmed when you book them.
- We can change published prices at any time, but never for a booking that is already confirmed.
- If a price is obviously wrong, a clear typing or system error, we will tell you as soon as we notice it. You can then confirm at the correct price, or cancel and get everything back.
5. Paying
- We take Visa, Mastercard, American Express and Maestro, online through Stripe or on our card terminal, as well as bank transfer and cash in GEL.
- Anything still open on your bill is settled before you leave.
- Bank charges on a transfer are paid by the sender.
- Refunds go back to the card or the account the money came from, normally within 10 working days of us agreeing to them.
6. Changing or cancelling an individual stay
- You can cancel free of charge up to 7 days before the day you arrive.
- Inside those 7 days, and if you do not turn up, we keep the amount shown for your rate on your booking confirmation.
- If our quiet, vegetarian, no-party style turns out not to be what you are looking for, call us. We will cancel free of charge and help you find a place that fits you better, whenever you realise it.
- If you leave earlier than planned, the nights you booked stay billable.
- Where a rate is marked non-refundable at the time of booking, it cannot be cancelled or moved.
- To cancel or change, write to hello@glampingtago.ge or use the link in your confirmation. A cancellation counts from the moment we receive it in writing.
7. Retreats, weddings and other group bookings
A retreat, a wedding or a company off-site runs on its own terms, agreed in writing before the deposit. The four answers below are the same policy shown on our retreat, wedding and team building pages. Everything after them is the practical detail that goes into your contract.
- How do we confirm our dates?
- A 30% deposit of the accommodation cost confirms your booking. It is non-refundable and counts as your minimum spend. The remaining balance is invoiced once your final numbers are confirmed, 14 days before arrival, and is paid before you arrive. Meals and transfers are invoiced separately.
- Can we change the number of tents after booking?
- Yes. Until 60 days before arrival you can change your booking freely, up or down. From 60 to 30 days before arrival you can reduce by up to 2 tents (rooms) free of charge, and from 30 to 14 days by up to 1 tent. Adding tents is always welcome, subject to availability.
- What do you need from us before arrival, and when?
- Your final numbers, confirmed in writing 14 days before arrival. From that point the booking is fixed and billable - no changes after that - and we send the invoice for the balance. We also need your full programme 30 days before arrival and the tent allocation list 7 days before.
- What if we have to cancel?
- More than 60 days before arrival: you lose only the 30% deposit. Inside 60 days: reductions beyond the free allowance, including a full cancellation, stay billable at the contracted rate. If travel becomes physically impossible (war, natural disaster, force majeure) we look at it case by case.
- A group booking is a minimum of 8 rooms.
- We can hold your dates without a deposit for up to one week. After that they go back on sale.
- For a last-minute high-season booking, inside about 60 days for June to August, at least 50% is paid upfront and is non-refundable, and the rest within a week of booking.
- On-site costs, the restaurant and any extras, are settled before check-out.
- Groups pay by bank transfer in GEL or by payment link. Company invoices are available in GEL or EUR.
- Early check-in at 13:00 or late check-out at 13:00 costs 200 GEL for the group, when we can offer it.
- On top of the programme and room list above, we need the names and phone numbers of your organisers.
- A whole-property buyout means exclusive use of the site. The privatisation fee for an event is currently 2,000 GEL.
- Capacity: retreats 12 to 28 people, weddings about 30, team buildings 10 to 28. The restaurant seats up to 32.
- You can also book only part of the property. Individual guests then stay alongside you, and we schedule the shared spaces so that everyone gets their slots.
8. Weddings and private events
We host one wedding at a time. Everything here sits on top of the group terms above, which apply to your wedding as well.
- A wedding is a whole-property buyout, normally from Friday arrival to Sunday brunch. Couples often come two or three days earlier to prepare.
- There are three ceremony spots: a forest clearing, a valley overlook, and the highland Otsinari lake about 30 minutes away. We scout them in advance, handle the setup, and keep an indoor backup ready in case of weather.
- The yurt restaurant seats up to 32 for the reception. The menu, including dietary substitutions, is agreed in advance.
- Extras such as the arch, flowers, decor, an event tent, music equipment, an MC or DJ and a day-of coordinator come from our own price list or from partner vendors. Everything you order is written into your contract, with its price, before the day.
- The kitchen rule still holds: no outside food. You may bring your own champagne or wine, and corkage applies, currently 15 to 20 GEL per bottle.
- Music and celebration hours for a private event are agreed in your contract. Without that written agreement, the midnight quiet rule in the house rules applies.
- High-season dates are usually booked 6 to 12 months ahead.
9. Arrival, check-in and check-out
- Check-in is from 15:00. Check-out is by 11:00.
- Tell us your arrival time in advance. The last stretch of road is slow, and we want someone at the camp to meet you.
- Late check-out is not something we can promise. If we can offer it, we agree it in writing, and staying past the agreed time can be charged at up to half a night.
- We may ask to see an ID document at check-in.
10. The road and transfers
- The last part of the road from Khulo is a mountain track. It needs a real 4x4 with good ground clearance. Ordinary cars and rental sedans do not make it.
- If you do not have one, park in Khulo and take our 4x4 transfer, currently 75 GEL per car each way. Please book it at least 24 hours ahead.
- Snow, rain and landslides can close the road. If we cannot bring you up safely, we will say so, and the section on events outside our control applies.
- Driving up in a car that is not suitable is at your own risk, and recovery costs are yours.
11. The restaurant
- Our kitchen is fully vegetarian. We do not cook or serve meat or fish, and we ask you not to bring your own food or drinks onto the property.
- Tell us about allergies, intolerances and dietary needs when you book, not on the day. Everything comes out of one small kitchen, so we cannot promise a plate free of every trace.
- Meals are served at set times, which we tell you at check-in. Let us know in advance if you will miss one, so food is not cooked for nothing.
- Please make sure a vegetarian mountain kitchen is what you want before you book.
12. House rules
This is a small, quiet camp in nature. The rules exist so that everyone gets the stay they came for.
- Quiet hours are from midnight to 08:00. No noise outside the tents in those hours.
- Until midnight, please talk, sing, meet people and enjoy the fire.
- Campfires are welcome until midnight, only in the fireplaces we show you, and they are put out afterwards.
- This is not a party venue. If noise or behaviour spoils the stay of other guests, we will ask you to stop, and if it carries on, to leave.
- The tents are non-smoking. Smoke outside, away from the tents and the dry grass, and use the ashtrays.
- Dogs are welcome for 15 EUR per stay. Please keep them on a lead around the camp, and out of the restaurant and off the beds.
- Friends who are not staying with us are welcome to visit you, but ask us first.
- Children are welcome, and stay in the care of the adults they came with at all times. This is a mountain site with fire, water and steep ground.
- Please do not pick the flowers, damage the trees or leave rubbish outside. Use the bins and the recycling.
13. Safety and your own responsibility
- We are at about 1,400 m in the mountains. The weather turns quickly, the ground is uneven, and the nearest hospital is down in Khulo.
- Hikes, the sauna, yoga and every other activity are taken at your own risk. Follow the guide, and tell us honestly beforehand about health conditions, pregnancy or injuries.
- We strongly recommend travel and medical insurance that covers mountain travel.
- We answer for our own fault: if we cause you harm or loss through our negligence, we are responsible under Georgian law. We are not responsible for things we do not control, such as your own choices, your health, the weather, or what other guests do.
- We are not responsible for valuables left unattended. Ask us and we will store anything important.
14. Damage and lost property
- Please treat the tents, the furniture and the shared spaces kindly. What is damaged on purpose or through carelessness is charged, at the cost of repair or replacement, to the guest who caused it.
- We keep lost property for 30 days and will post it to you at your cost.
15. When we can refuse or end a stay
- We can decline a booking, or end a stay without a refund, if a guest is abusive to our team or to other guests, keeps breaking the house rules after being asked to stop, brings something that puts the camp at risk, or cannot be looked after safely at a site like this.
- We are a small team in a small camp. We use this rarely, and never lightly.
16. Events outside our control
- Fire, flood, landslide, heavy snow, earthquake, war, epidemic, a government order, or a long cut in power or water: if one of these makes your stay impossible, we will contact you as soon as we can and offer new dates, or refund what you paid for the part of the stay you could not take.
- We cannot cover travel costs, missed flights or other losses caused by events outside our control.
- For group bookings, the force majeure wording in the group terms above applies.
17. Privacy, cameras and photographs
- What we do with your personal data is set out in our Privacy Policy.
- There are cameras in the common areas and around the property. They are there for safety.
- We sometimes photograph and film camp life for our website and social media. If you would rather not appear, tell the team or the photographer. We will keep you out of the frame, or take down a picture that is already published.
18. This website
- We keep the website as accurate as we can, but descriptions, photographs and prices change, and the tents stand in nature: the view, the flowers and the weather are not the same every week.
- The text, photographs, videos and design on this website belong to Glamping Tago LLC and may not be copied or reused commercially without our written permission.
- Some pages link to other companies, such as the booking system, maps and payment providers. We are not responsible for their content or their terms.
19. Complaints, law and disputes
- If something is wrong, tell us while you are here. Almost everything can be fixed on the spot, and very little can be fixed a month later.
- If you are still unhappy afterwards, write to hello@glampingtago.ge and we will answer within 14 days.
- These terms are governed by the law of Georgia, and a dispute we cannot settle between us goes to the courts of Georgia.
- If any part of these terms turns out to be invalid, the rest stays in force.
20. Changes to these terms
- We update these terms from time to time. The version that applies to your stay is the one published on the day you booked, and you can always ask us for a copy.
- The date at the top of this page shows when it was last changed.
