A group of 20 to 40 people works in Georgia (the country) when three things are settled early: one base where everyone sleeps under the same roof, vehicles sized for the roads you will drive, and a booking order that locks the scarce parts first. This guide covers all three, with 2026 prices for coaches, minibuses, venues and food, and the paperwork every member needs.
We run Glamping Tago, a mountain camp in Village Tago in Khulo, mountainous Adjara, 2.5 hours from Batumi. A group of up to 33 takes over the entire property, so it gets the first row below. It is not right for every group, and the table shows where the hotel resorts of Kakheti, Borjomi and Kazbegi fit better.
Which base fits a group of 20-40?
Pick the base before anything else: it decides the airport, the vehicles and most of the budget. The question that splits the options is whether you want the whole place to yourselves or a room block in a hotel you share with other guests.

The short version: if your group wants a private weekend in nature where the evening carries on round one fire, a buyout is the format. If you need a ballroom for 300, hotel rooms with en-suite baths for everyone, or a base an hour from Tbilisi, a Kakheti resort fits better.
Glamping Tago (our venue), Adjara
- Where: Village Tago, Khulo municipality, mountainous Adjara; 89.6 km by road from Batumi centre, with Khulo on the way.
- Drive time: about 2.5 hours from Batumi; 5.5 hours from Kutaisi; 8.5 hours from Tbilisi.
- Capacity: 12 Lotus Belle tents for two plus a 9-bed dome dorm, 33 beds on site; 7 village guesthouses add 27 rooms and 64 beds.
- Price from (2026 group rate): whole camp 1,962 GEL a night in April, 4,488 GEL in July and August.
- Season: 1 April to the end of October.
A buyout gives your group all 12 tents, the dorm, the yoga spaces, the sauna, the campfire, tea and coffee, and the sound equipment. Meals come from Yurtalicious, the vegetarian yurt restaurant on site. The team-building page adds a co-working space, two breakout tents and Wi-Fi tested at 300 Mbps, and a tech camp that started here with 8 people in 2023 took the whole glamping for 34 guests in June 2026.
Bigger groups are normal here. Beside the 33 beds on the ridge, Tago's village guesthouses sleep 64 more in 27 rooms at 150 GEL per room per night, 3 to 10 minutes on foot, and about 60 camping spots cover the rest. A 100-person team building ran here in June 2026 and a 100+ meditation retreat in August.


Where else can 20-40 people stay together?
Outside Adjara, the hotel resorts of Kakheti, Borjomi and Kazbegi take a group of 30 in one building with a hall, 2 to 3 hours from Tbilisi. All of them are hotels, so you share the restaurant, the pool and the evenings with other guests.
Kakheti is the obvious choice when your group lands in Tbilisi and wants wine, big hotel rooms and a hall. Every resort below is a hotel you share with other guests, and Kvareli hosts weddings on the same evenings. September to late October is the best time to visit wineries such as Shumi, and a grape-picking day in the Rtveli harvest works as a team activity.

Hotel Chateau Iveri, Adjara
If your group wants hotel rooms in Adjara rather than tents, three places work as overflow or a night on the way, and only this one sits on the Batumi to Tago road. A winery hotel in Varjanisi, 49 km from Batumi and right on the road to Tago (a 0.9 km detour). It runs a restaurant, cooking masterclasses and corporate events, which makes it a good lunch or tasting stop for a group on the way up.
Eco House Merisi, Adjara
Glass cottages and villas in the Merisi valley, 51.3 km from Batumi. It is its own side valley from Keda, a 23 km detour off the Tago road, so treat it as a separate trip rather than a stop on the way.
Hotel Ambassadori Goderdzi, Adjara
A 5-star ski-in hotel with 122 rooms, two conference halls with projectors, a spa and an indoor pool, 108.8 km from Batumi via Khulo and 34 km beyond Glamping Tago. In winter, when Tago is closed, it is the Adjara option for a group.
How do you plan a group trip to Georgia for 20-40 people, step by step?
Book in this order: the base, then the long-distance transport, then the activities and food, then each member's insurance. The base and the vehicles run out first; everything else can be fixed in the last month.
- Fix the dates and two headcounts. Ask every venue to quote a smaller and a larger number (for example 25 and 35). Organisers who wait for a final count lose the dates.
- Book the base 6-12 months ahead for June to September. Glamping Tago's summer weekends go that far ahead; general guides advise 2-3 months for summer hotels. Pencilled dates at Tago are held for one week without payment.
- Pay the deposit and read the reduction rules. At Tago, a 30% prepayment of the total confirms the dates and is the non-refundable minimum. More than 60 days out you can add or remove tents freely; 60 to 30 days out you can remove 2 tents free; 30 to 14 days out, 1 more.
- Book the transport. Charter coaches and minibuses go with the base, at least a week ahead and much earlier in July and August. For a train group, send a written application to Georgian Railway (Grbooking@railway.ge) with every passenger's name and ID at least 20 working days before departure.
- Send the programme 30 days before arrival and the final headcount in writing 14 days before. From then on every booked tent is paid; the room or tent list follows 7 days before.
- Collect every member's arrival time. We build the transfer plan from the flight and train times a few days before, and late arrivals join a later run.

Which airport should a group fly into: Tbilisi, Kutaisi or Batumi?
Fly into the airport nearest your base. For the Adjara mountains that is Batumi (15 minutes from the city) or Kutaisi; for Kakheti, Kazbegi and Borjomi it is Tbilisi, 17 km from the capital.
Kutaisi airport sits about 124 km by road from Batumi. The airport coach to Batumi waits for every Wizz Air flight and costs about 30 GEL per person (The Georgian Guide); City Bus Georgia and Metro Turizm sell seats at US$13 for 1h45 to 3 hours. For a whole group, TIEG Travel lists Kutaisi airport to Batumi at 300 EUR for a 25-55 seat bus and 180 EUR for an 18-seat minibus.

From Tbilisi, the train is the comfortable way west. Stadler double-deckers run Tbilisi to Batumi in 4h01: the 802 leaves at 08:05 and arrives 12:06, the 804 leaves at 17:10 and arrives 21:11, from 35 GEL (Georgia Guidebook). Individual tickets go on sale only 20 days before departure (Georgian Railway), which is too late for 30 seats in summer; the group application above is the way round it. A Georgian Airways flight takes 45 minutes, four days a week.
How do you move 20-40 people around Georgia: coach, minibuses or 4x4?
A coach for the flat, long legs and 15- to 20-seat minibuses for the mountains. A 50-seat coach handles Tbilisi to Kakheti or Kutaisi to Batumi; on mountain roads such as the last stretch to Tago, a group splits into minibuses and 4x4s.

Citybus keeps charter desks at Ortachala bus station in Tbilisi (Gulia St. 5) and at Batumi Central railway station. Its drivers may cover at most 700 km or 9 hours of driving a day, and prices include 18% VAT.
For Tago, groups of 30 usually take two of our 15-seat minibuses straight from Batumi, the airport or the train station, in waves that match arrival times. The other common setup is your own coach as far as Khulo on 85 km of asphalt, then our minibuses for the last 9 km. Transfers are paid in cash at reception, never to the driver (organiser page).
Members travelling on their own can take the marshrutka from Batumi bus station to Khulo, every 30 minutes from 08:00 to 20:00, about 10 GEL and 2.5 hours, then a 4x4 from Khulo for 75 GEL per car of 4. Details are in our Batumi to Khulo guide and on how to get to Glamping Tago.
What does a group trip to Georgia cost per person in 2026?
A 3-night mountain stay at Glamping Tago for 30 people costs about 590-710 GEL per person with the whole camp, full board and transfers from Batumi, depending on the month. A week-long coach tour with a Georgian operator starts around 356 EUR per person at 30 people.

Worked example: 30 people, 3 nights at Glamping Tago in June. Whole camp 3 x 3,584 = 10,752 GEL; full board 30 x 3 days x 100 = 9,000 GEL; two 15-seat minibuses from Batumi and back, 4 x 410 = 1,640 GEL. Total 21,392 GEL, about 713 GEL per person. The same stay in October: 6,948 + 9,000 + 1,640 = 17,588 GEL, about 586 GEL per person. Flights, drinks and activities come on top; 1 USD is about 2.61-2.63 GEL.
Groups save in two places. Hotels block rooms for groups of 8 or more at 10-15% off, and tours usually give 10-15% for 6 or more. The other saving is the base itself: a buyout spreads one price across the whole group, while a hotel charges every room.
Do you need a tour operator, or can you organise it yourself?
You can organise a group of 20-40 yourself: book the base, the vehicles with drivers and a licensed local guide for the days that need one. An operator is worth it for a multi-city circuit with a different hotel every night, where a package price per person saves weeks of email.
- Your own trip with one base: you book the venue, a charter and the activities. This suits a team, a retreat or friends who want 3-5 days together.
- A private operator package: TIEG Travel prices 8-day bus tours per person by group size (see the table above).
- A joinable tour: Advantour's 7-day small group tour starts at US$910 per person, with autumn 2026 departures (16 and 30 October) at US$1,075. That is for joining strangers, not for your own 30.

Two rules decide who guides your group. Since 1 March 2026, foreign nationals without permanent residence may not work as tour guides in Georgia (VisaVerge), apart from an annual quota of 200 permits for mountain, alpine and ski guiding (Gazette). Guides, tour operators and agencies must also register in the National Tourism Administration's database under the amended Law on Tourism. Your own tour leader can travel with you, but on the ground the guiding is done by a Georgian-licensed local guide.
How do you feed a group: supras, set menus and dietary needs?
Plan one supra, the Georgian feast with a toastmaster (tamada), and set menus for the other meals. Collect dietary needs at booking: a group of 30 always has vegetarians, and one kitchen cooking one menu is faster than 30 à la carte orders.
- At Glamping Tago the kitchen is fully vegetarian. Group menus run from a Georgian Supra at 85 GEL per person to a 5-course Signature menu at 215 GEL (from 30 guests). For meat eaters we cook a BBQ live station for the whole group at 45 GEL per person, or arrange a dinner at a village guesthouse. Breakfast buffet is 32 GEL and dinner buffet 37 GEL on the restaurant page.
- In Kakheti, Eat This! Tours runs private supra tours for groups of 4 to 28, more on request.
- In Tbilisi, a corporate supra with a tamada in a private hall for up to 40 runs 40-60 GEL per person including drinks (Sakhva Travel). For a special dinner, Barbarestan cooks from a historic family cookbook on two floors with a wine cellar.
Near Batumi, Mtirala House in the Mtirala national park has a gazebo for 20 and a rooftop veranda for 50, 23.4 km from the city, with lunch and dinner at 10-25 GEL per person. It makes a good group lunch on a Batumi day.
What paperwork does every member need in 2026?
Every member needs their own health and accident insurance for the whole stay, at least 30,000 GEL of cover, in English or Georgian, on paper or a phone (The Georgian Guide). Citizens of 98 countries, including the EU, the UK, the US and Canada, enter visa-free and may stay up to 365 days (Georgia Spirit); check the rest well before booking flights.
The insurance rule comes from Government decree No. 602, adopted 26 December 2025 and in force since 1 January 2026, and it covers every person including infants and children; the only exemptions are narrow (diplomats, international organisation staff on mission, some bilateral agreements, airside transit) (Georgia Today). Visa-free status does not exempt anyone, and border police may check. A Georgian policy such as GeoCover costs 3.95 GEL per person per day, and Cover.ge charges US$3.50 per adult per day with 10% off for 5 or more people.
When should a group go, and how far ahead should you book?
June to September is high season everywhere: book the base 6-12 months ahead and the transport with it. April, May and October cost less, and October is harvest month in Kakheti and the last month Tago is open.

Mountain roads change with the weather. Canada's travel advice warns that rural roads are sometimes poorly maintained and slippery in the mountains, so leave slack in every drive day and plan a covered alternative for a hike that gets rained out.

What a group does at Tago, with prices from our activities page: sauna and cold plunge from 40 GEL per person, a herb walk from 300 GEL per group, a cooking workshop from 50 GEL per person, a Jara honey tour with a feast from 200 GEL per person, and morning yoga included. A hiking guide starts at 150 GEL (tours), and jeep trips to Green Lake, Khikhani or Shuamta run 400 GEL per car for one destination.
What does a group need to know on the ground: payment, signal, weather?
Pay the venue by bank transfer or payment link in lari; company invoices come in GEL or EUR. Pack for cold nights in the mountains, even in July, and plan every outdoor session with an indoor fallback.

- Signal and Wi-Fi: Wi-Fi at the camp reaches about 300 Mbps, enough for video calls, and Magti has the best mobile coverage in the valley.
- Weather: days are warm and nights are cold even in summer. Every member brings warm layers and a rain jacket; tents have stoves and sockets.
- Rain plan: sessions move into the 38 m2 yoga dome or the event tent, and the 138 m2 platform has a sailcloth roof.
- Bathrooms: the tents share two bathhouses with hot showers; towels and bedding are provided.
- Parking: coaches and normal cars stop in Khulo centre; only 4x4s and our minibuses drive up.
What do group organisers get wrong?
- Booking the coach for the whole route. Many mountain venues, Tago included, cannot take a full-size coach. Ask every venue what the last kilometre allows.
- Waiting for the final headcount. Book with a range and use the reduction rules; summer dates go first.
- Leaving the train to the last 20 days. Individual tickets open 20 calendar days out; groups apply in writing 20 working days ahead.
- Forgetting insurance for one member. Every person needs their own policy, children included.
- Bringing a foreign guide to lead on the ground. Since March 2026 that needs a licensed local guide.
- Not saying who eats what. Collect diets at booking, and tell meat lovers in advance that the kitchen at Tago is vegetarian.
- No cash for the village. Draw cash in Khulo for tips, taxis and village dinners.

How much does it cost to rent a bus with a driver in Georgia for a group?
Citybus Georgia charges 2,500 GEL a day for a coach with driver, fuel, parking and water up to 400 km, 1,500 GEL a day up to 250 km, or 945 GEL a day with fuel and parking extra. A Mercedes Sprinter with driver costs EUR 144-180 a day from GeoRentCar, less per day the longer you hire it.
Can a big coach drive a group to Glamping Tago?
No. The last stretch up to Tago is a mountain road for 4x4 cars and 15- to 17-seat minibuses. Groups take our minibuses from Batumi (410 GEL per 15-seat vehicle, one way) or come by coach to Khulo and switch to our minibuses there for 135 GEL each.
Where can a group of 40 stay together in Georgia outside Tbilisi?

For June to September, book the base 6-12 months ahead and the charter transport with it. Train groups apply in writing to Georgian Railway at least 20 working days before departure, because individual tickets only go on sale 20 days ahead. April, May and October are easier to book and cheaper.
Does every member of the group need travel insurance for Georgia?
Yes. Since 1 January 2026 almost every visitor, children included, needs their own health and accident insurance for the whole stay with at least 30,000 GEL of cover. Buy it before departure: a policy bought on arrival excludes the first six hours.
Can we bring our own tour guide to Georgia?
Your tour leader can travel with the group, but since 1 March 2026 foreign nationals without permanent residence may not work as tour guides in Georgia, apart from 200 annual permits for mountain, alpine and ski guiding. Book a Georgian-licensed local guide for the guided days.
What does a group trip to Georgia cost per person?

Can meat eaters eat at Glamping Tago?
The kitchen is fully vegetarian, so tell the group in advance. For meat eaters we cook a BBQ live station for the whole group at 45 GEL per person or arrange a dinner at a village guesthouse.
How do we pay Glamping Tago for a group stay?
A 30% prepayment of the total confirms the dates. The accommodation balance is invoiced 14 days before arrival and paid before you come; food and extras are settled at the end of the stay. You pay in lari by bank transfer or payment link, and companies can get an invoice in GEL or EUR.
